Winning Bigger Bids Declined for time, not for fit.

The opportunities are there. Some of them are good. And they get declined, not because the work is wrong but because nobody had the hours to price them properly before the date.

If this sounds familiar

  • Bids get declined for time rather than for fit or margin.
  • The estimator is the constraint, and there is exactly one of them.
  • Bid periods arrive together, because they follow the same construction cycle.
  • Larger packages get skipped because the counting alone would take days.
  • Nobody knows what the declined opportunities were worth, because they were never priced.

What actually limits bid volume

Not judgement. Counting.

Pricing a millwork package involves two different activities that are usually done by the same person. One is measuring what is there, which is slow, methodical and does not require twenty years of knowing what a job actually costs. The other is applying commercial judgement to those quantities, which does.

The second is why your estimator is valuable. The first is why they run out of hours.

Separating the two is the whole idea. The counting moves; the judgement stays exactly where it is.

What can move off the estimator's desk

Can move
Stays with your estimator
Measured quantities by material, with the basis stated
Pricing and rate application
Sheet goods, solid stock, edging, laminate and hardware counts
Labour hours and productivity assumptions
Bills of quantities where the tender route requires measured works
Commercial strategy and margin
Div 06 40 00 scope boundary identification
The decision on which bids to chase
Inclusions, exclusions and stated assumptions
Bid qualifications and how they are presented
Addenda incorporated and their effect reported
Submission and negotiation

The boundary is deliberate. Prices are not set, labour rates are not applied and bids are not submitted. An estimate built on invented labour rates is worse than no estimate.

What this is not

Not estimating.
Quantities and structured documents are produced. The commercial judgement stays with the person who has it.
Not a bid-writing service.
Qualifications arising from the documents are identified; drafting and issuing them is your decision.
Not a promise about win rate.
More bids priced is not the same as more bids won, and anyone claiming otherwise is selling something they cannot control.

FAQ

Frequently Asked Questions

Do you price the work?
No. Quantities and structured documents are produced. Pricing, labour rates and commercial judgement stay with your estimator, where they belong.
How do I know the take-off is right?
Every take-off states its basis, assumptions, inclusions and exclusions on the first page, so you can see exactly what has been counted and what has not. The fastest way to judge it is to run one against a package your estimator has already priced.
Bid periods all arrive at once. Does that work?
Bid seasons are lumpy by nature and that is a normal part of scoping this work. Volume is agreed per engagement rather than assumed.
What do you need to start?
The architectural set, the millwork specification sections, and your preferred grouping. Where documents are incomplete, the assumptions made are stated rather than guessed silently.
